Template week - Managing audio broadcasts


This article explains how to use the Template week tool to manage the schedule for audio broadcasts that appears on the public website.

You can perform the following actions via Template week:

  • Check the schedule for regular audio shows (a regular audio show streams a new unique episode on the same day at the same time every week).
  • Create a new regular audio show.
  • Edit the settings that apply for all episodes of a regular audio show.
  • Manage when the updates you make in Template week are applied on the public website.
NOTE: To edit the settings for an individual episode, or schedule a one-off broadcast that is not linked to a regular audio show, you need to use Scheduler.

Access Template week

To access Template week:

  1. Click Scheduler > Scheduler & Template Week in the top menu.
  2. Select Template week in the left panel.
  3. Under Tubes, select the audio tube that you want to manage. Audio tubes are marked with the music icon. This article only describes the options for audio tubes. Different options are available for video tubes.

Template week displays the regular audio shows that are associated with the selected audio tube.




Use Template week

Each column in the Template week timetable is labeled with a day of the week (such as Monday).

The following options are available to customize the data you see in the Template week timetable:

  • (A): Tubes: If necessary, use the drop-down menu to select a different tube.
  • (B): Filter: Optionally apply a filter to more easily identify specific types of shows in the timetable. The following options are available:
    • Default: Displays all regular audio shows that are associated with the selected tube. Repeats are marked green.
    • Show Deleted: Displays all shows from the Default view, but additionally displays deleted shows in red.
    • Has Feature(s): Displays all shows from the Default view, but shows with an Audio Feature are marked blue.
    • Has Repeat(s): Displays all shows from the Default view, but shows with a repeat are marked purple.

After configuring the timetable according to your preferences, you can perform any of the actions below:



Create a new regular audio show

Via Template week, you can create a new regular audio show:

  1. Click the box for the day and time when you want the show to begin, then click + Add new broadcast.
  2. Via the New Broadcast program screen, configure the settings for the new audio show. For detailed information about the available options, refer to the following section in this article:
  3. Click Save to confirm and apply your preferences.

The new audio show is now listed in Template week. However, the changes do not immediately appear on the public website. For more information, refer to the following section in this article:



Edit a regular audio show

Via Template week, you can edit the settings that apply for all episodes of a regular audio show:

  1. Click the box for the regular audio show you want to edit, then select Edit.
  2. Via the Edit Broadcast program screen, adjust the settings for the audio show according to your preferences. For detailed information about the available options, refer to the following section in this article:
  3. Click Save to confirm and apply your preferences. Alternatively click Save and apply to all repeats to also apply the changes to repeats.

The changes to the audio show now appear in Template week. However, the changes do not immediately appear on the public website. For more information, refer to the following section in this article:



Cancel a regular audio show

Click the box for the regular audio show you want to cancel, then select Delete > Confirm delete.

You can optionally restore a deleted show:

  1. Select Show Deleted under Filter in the left panel. Deleted shows now appear in red on the Template week timetable.
  2. Click the box for a deleted show and select Restore.

The Template week schedule is now updated. However, the changes do not immediately appear on the public website. For more information, refer to the following section in this article:




Duplicate a day

You can duplicate the schedule for a particular day in Template week, then use the duplicated schedule to overwrite the schedule for one or more other days.

Follow these steps:

  1. Click More options (three dots) next to the day you want to duplicate.
  2. Duplicate original programs is ticked by default. Optionally tick Duplicate all repeats of original programs if you want to also include repeats in the duplicated schedule.
  3. Tick the box next to each day that you want to overwrite, then click Confirm.

The Template week schedule is now updated. However, the changes do not immediately appear on the public website. For more information, refer to the following section in this article:




Manage Broadcast program settings

Refer to the sections below for information about the options on the New Broadcast program / Edit Broadcast program screen:



Add categories

You cannot save the audio broadcast until you assign it to at least one category using the Categories drop-down menu. Every episode of the audio show is automatically assigned to the categories you select.

NOTE: You can assign an audio show to a Radio category. Radio categories offer special settings that are designed to promote audio content.

Manage general settings

IMPORTANT: We recommend that you do not adjust any of the settings listed below if it is less than 5 minutes before the show starts.


The following settings are required and must be completed before you can save the audio show:

  • Day: Select the day when the show streams a new episode each week.
  • Start: Specify the start time for each episode (format: HH-MM-SS).
  • End: Specify the end time for each episode (format: HH-MM-SS).
  • Title: Enter the name of the show.
  • Categories: Select one or more categories.

Optionally adjust the following additional settings:

  • Status: Ensure Published is selected, otherwise the show will not start at the specified time.
  • Description: Provide a short description of the show that is displayed on the public website.
  • Main image: Add a main image that is displayed with each episode of the show on the public website. If you don't select a main image, the default image for the primary category is used.
  • Authors: Add one or more names that are listed on the public website as hosts for the show. You can only add someone who is already an author in Pangea CMS.
  • Share on Direct: Specify if episodes of the show will be available via USAGM Direct.
  • Hide download links: Tick this box if you do not want to provide a download link with episodes of the show on the public website.
  • Record: Tick this box if you want to record episodes of the show. For information, refer to Manage recorded files.
  • Evergreen: If applicable, specify if episodes will expire via USAGM Direct.
NOTE: The settings above are applied automatically for every episode of the show. If necessary, you can adjust the settings for individual episodes via Scheduler.


Manage recorded files

If you want Pangea CMS to record each episode of the the audio show, tick the box next to Record in the general settings.



NOTE: To ensure that an episode is recorded correctly, it is essential to tick this option at least 10 minutes before it starts.

Recording an episode enables the following functionality:

  • Visitors can listen to the episode on the public website after it finishes.
  • Visitors can download the episode on the public website after it finishes.
  • You can download the audio file from the Edit Broadcast program screen after the episode finishes.
  • If you schedule a repeat of the episode, the recording is automatically played during the repeat.

You need to go to Scheduler to access the recorded files for each individual episode. The recorded files are not available via Template week.



Schedule a repeat

You can schedule a regular repeat of an audio show via Template week. This allows you to stream the same episode more than once every week.

Apply Template week changes on the public website

When you make changes to the timetable in Template week, these changes are not immediately visible on the public website or in Scheduler (the timetable displayed in Scheduler always matches what is displayed on the public website).

You can wait for Pangea CMS to update Scheduler automatically, or you can update Scheduler manually.

IMPORTANT: When Scheduler is updated based on Template week, the data from Template week overwrites the existing data in Scheduler. This means a one-off broadcast that does not appear in Template week will be deleted if it is scheduled during the time period when the data from Template week is applied.

Automatic update

At the end of each day, Pangea CMS takes the Template week schedule for the current day and applies it in Scheduler two weeks in the future. For example, at the end of the day on Monday March 1st, Pangea CMS takes the latest Template week schedule for Monday and applies it in Scheduler for Monday March 14th.

If you need your changes to appear in Scheduler sooner, we recommend running a manual update.

Manual update

To manually update Scheduler with the latest data from Template week:

  1. Go to Scheduler > Scheduler & Template Week.
  2. Select Template week in the left panel.
  3. Click Update schedule.
  4. Define the following fields:
    • Starting day: The first date when the changes from Template week will be applied. It is not possible to select the current day.
    • Ending day: The last date when the changes from Template week will be applied.
  5. Click Update.

The latest data from Template week is now applied in Scheduler for the specified time period only.
